Information for Participants


On behalf of the organising committee, it is our pleasure to welcome you to the first Community‐based Sustainable Energy Workshop. This is an exciting collaboration between researchers in the UK and Brazil, supported by the British Council and the Newton Fund.

This page provides information for the UK and Brazilian attendees. It covers details of the overall opportunity, travel arrangements, useful information about the location, and details of the workshop.

Conference Preparation


All attendees will be expected to take part in the workshop, and in preparation we require two items preparing:

Elevator Pitch


All attendee s will have five minutes during the workshop to present an elevator pitch. This elevator pitch must include:

  • Who you are
  • Details of your research area
  • How your research area fits with the themes of the workshop

Poster


The second item will be a poster presentation. We are requiring all participants to present a poster
(and demo if possible) reflecting on‐going research progress.

The poster should be self‐contained, including the title, authors, institutional affiliations and
contact information, abstract, main body, and references. There are no guidelines for styling, the
only requirement is posters should be on A1 paper.

Package inclusions/exclusions


As successful applicants to ComSe 16 participation to the workshop is free. The following items are included in the free package:

  1. Attendance to the workshop,
  2. Return flight from Heathrow Airport, London UK to Florianópolis (for UK participants) and from a specific Brazilian city to Florianópolis (for Brazilian participants),
  3. Hotel Accommodation for 5 nights (14th - 18th February 2016 inclusive, departing 19th February) at Il Campanario Resort Hotel,
  4. Shuttle bus between the conference venue and hotel,
  5. Catering during the workshop (Breakfast, Lunch, Dinner),
  6. Any field visits that are arranged as part of the workshop,


You will need to cover any additional expenses such as:

  • Travel and pre/post flight accommodation if required
  • Car parking costs at the airport if applicable
  • Personal travel insurance
  • Visa costs (the costs associated with the visa application can be reclaimed from Coventry University)
  • Additional meals or refreshments and use of hotel minibar during the stay and any meal and refreshments en‐route, not included in the flight arrangements

For UK participants


Return flights have been pre‐booked from Heathrow Airport, London, UK to Florianópolis, Brazil. You will need to arrange your own transportation to Heathrow. We will arrange the flights for you although you will be responsible for checking in and clearing customs in London and São Paulo. Whilst you are not travelling as an official group, we will aim to put you in touch with other participants prior to the event.

Please check the travel details and make your arrangements for transport and accommodation needed to be at Heathrow Airport no later than the check in time indicated. Aim to check in online when bookings open (generally 24-48 hours before the flight)

For Brazilians participants


You will be contacted by Campus Turismo about the flights arriving on Sunday, 14th February, 2016 and departing on Friday, 19th February 2016. We will arrange for shuttle transport between the airport, hotel and conference venue.

Visas


UK passport holders do not require a visa to enter Brazil. However, passports must be valid for at least six months and a return ticket and proof of sufficient funds may be requested on arrival. Tourists will be admitted for a stay up to 90 days which is extendable, at the discretion of the Federal Police, for a further 90 days. Tourists are not allowed to work.

Attendees are responsible for arranging their own visas if required.

If you need a letter from the organisers to obtain a visa, please contact faye.brown at coventry.ac.uk and include your name, mailing adddress, and email address.

International registrants should be particularly aware and careful about the visa requirements, and should plan travel well in advance.

You will be required to complete an immigration form on entering Brazil. There are usually available from the airline representatives but listen out for announcements and for the flight attendants handing these out. They are available in the airport but be sure to find one before you join the queue to clear passport control. Keep the stamped form with you whilst in Brazil. You will need this on exit.

Note that Florianópolis is a coastal city south of São Paulo. It is not currently in an area that is shown as high risk for malaria but please check on the map provided by NHS and the latest advice.

Attendees are responsible for ensuring that they have full insurance cover in place throughout the trip - check with your University who generally provide staff with cover for overseas travel.

You will need to check the vaccinations required for the trip and make sure your vaccinations are up to date and sufficient. Please do this well in advance as some injections take a while to provide immunity.

Check whether you are covered by insurance for all eventualities whilst travelling and during the workshop. Arrange for additional insurance if you need to.

Accommodation


You will be staying at the Il Campanario Resort, which is a luxury hotel close to the beach.

Note that those attending will be expected to share a twin room with one other workshop attendee. Please make us aware of any issues arising in relation to room‐sharing by email to Faye Brown at Coventry University (Faye.Brown at coventry.ac.uk).

Il Campanario Resort lies in the Jurerê Internacional neighbourhood in Florianópolis. The location is close to the beach and brings a Mediterranean feel to the Atlantic coast.

The Resort enjoys a wide open view to the beautiful blue ocean on one side and all the Jurerê’s famous beach clubs within walking distance. The hotel facilities include swimming pools, fitness centre, sauna and spa.

The Il Campanario Resort has an elegant lobby bar and a cosy fireplace in the lounge. The international cuisine in the restaurant is served by renowned chefs, offering top‐class dining.

Conference venue


UFSC Smart Solar Building is a living lab to perform experiments on sustainability, renewable energies, and intelligent automation. The building was inaugurated in 2015, resulting from a joint effort of three research groups at UFSC: Solar Energy Research Laboratory (Fotovoltaica), Software/Hardware Integration Lab (LISHA) , and Power Electronics. The building’s innovative design incorporates break‐through advances in architecture, photovoltaics, and automation.

UFSC Smar Solar Buildin was designed by the Solar Energy Research Laboratory (Fotovoltaica) to be as efficien as possible in terms of energy generation and consumption. UFSC Smart Solar Building was designed to operate autonomously. Intelligent automation technology is being constantly developed and deployed in the building by UFSC Software/Hardware Integration Lab. At the heart of all the automation in the building lies EPOSMote III, an open sennsing and actuating platform based on EPOS.
